  • accepts the deposit copies that need to be handed in at the University Library.
  • is responsible for publishing your thesis on the publication system.
  • issues a confirmation of publication and sends it to your faculty's Dean's office.

Publication contract and Declaration of conformity

If you have published with a commercial publisher

If your thesis has been published with a commercial publisher, you need to hand in a certain number of deposit copies at the library. For the exact number, please refer to the Doctoral Degree Regulations (“Promotionsordnung”) applicable to you.

Please note that we do not send copies to your supervisors and reviewers.

Along with the copies, you have to hand in the print approval (“Druckgenehmigung”, depending on your faculty also “Imprimatur”, “Druckfreigabe”, or approved title page; in some cases, the dean’s office sends this to us directly). A copy of this document is sufficient.

The copies of your thesis also need to contain the official thesis title page (also “inlay sheet” “Einlegeblatt” “Titelblatt”). If this page has not already been bound into the copies by the publisher or is send to us by the dean’s office, you need to print this page in the appropriate format for each deposit copy and insert it at the front.

Please note: The thesis title page that needs to be inserted has to be the version that has been approved/mandated by the dean’s office but without their approval stamp and signature.

The deposit copies can be sent to us separately from the documents, directly from the publisher. In this case you can send us the print approval and thesis title page via email.

Other forms of publication

Depending on the Doctoral Degree Regulations (“Promotionsordnung”) and your faculty there may be other options for fulfilling the publication obligation.

Regardless of the publication form you decide on, the number of printed copies that has been specified by the faculty needs to be handed in at the University Library. Please note the information below when preparing the deposit copies. 

Along with the copies, you have to hand in the print approval (“Druckgenehmigung”, depending on your faculty also “Imprimatur”, “Druckfreigabe”, or approved title page; in some cases, the dean’s office sends this to us directly). A copy of this document is sufficient.

In addition, the faculty’s approval for the chosen form of publication usually needs to be handed in.

Requirements for the deposit copies

If the deposit copies for the library are printed and bound by a copy shop, please note the following requirements by the University Library:

  • The copies need to be printed on white, aging resistent paper.
  • The copies need to be bound using a permanent adhesive (perfect, thermal etc.) binding. Deposit copies using, comb, coil, spiral, channel or similar binding will not be accepted.
  • The printed copies need to contain the thesis titel page (if applicable: both pages; in the version that has been approved/mandated by the dean's office but without their stamp and signature) even if it's additionally printed on the cover.

Please check if your faculty has any further requirements.

Otherwise, we recommend for the deposit copies to be in DIN A5 format, softcover, printed double sided.

Please understand that we cannot make any recommendations for copy shops.
 

Handing in deposit copies and required documents

Please always include your email address, so we can contact you if necessary.

In some cases, the deposit copies and required documents need to be handed in at your faculty’s dean’s office and will then be sent to the library. For more information, please check with your faculty.

If you’re sending the copies from a non-EU country, please make sure that all information and documents needed for the customs declaration are included and there are no costs for the University Library due to customs duties or import taxes.

You can also hand in the copies and documents at the library in person at the Information desk in the Ammerbau during their service hours (usually Monday to Friday from 8:00am-6:30pm, please check the website of the University Library in advance for deviating opening hours). It’s also possible for third parties to hand in the copies and documents.

Please note that our colleagues at the information desk are only responsible for receiving and forwarding the copies and documents. They cannot answer any questions about the publication process or formalities. Instead, please contact the University Publications / Doctoral Theses office in advance.

Confirmation for the dean’s office

As soon as we’ve received the deposit copies and all required documents or, in case of online publication, as soon as we have published your thesis, we will issue a confirmation that is sent to the dean’s office via internal mail. If we have your email address, we will inform you once we’ve issued the confirmation.
