The research group MANTRAMS – Mantras in Religion, Media and Society in Global Southern Asia – at the University of Tübingen is seeking a 

Project Administrative Assistant (m/f/d, E 9a TV-L, 50%)

 to support the administration and management of the project limited until the 31.08.2030.

The group MANTRAMS is a young, interdisciplinary and international team of researchers conducting an ERC Synergy project. For more details on the scope and objectives of the project see here: https://uni-tuebingen.de/de/270378

In detail, the position will cover these multiple tasks:

  • Coordination of all management aspects related to the project such as preparation and execution of meetings, agendas and minutes, recruitment processes, and assisting the Project PI in daily coordination.
  • Organization and administration of conferences, workshops and training activities, both virtual and in-person, to be organized within the framework of the project, including travel and accommodation arrangements as needed.
  • Management of the reporting obligations, timesheet and budget, working closely with the institutional Research Office.
  • Implementation of ethical deliverables, risk assessment and feedback processes.
  • Administering contracts and agreements.
  • Drafting intermediary and final reports.
  • Procuring equipment and services, from the identification of suppliers to the follow-up of orders.
  • Coordinating and maintaining contact with project partners.
  • Onboarding of newly hired PhD and Postdoctoral researchers.
  • Assistance with maintaining and updating the research project website and social media.
  • Assistance with outreach: Develop and execute dissemination and communication strategies to promote the project and its results among different audiences, both academic and non-specialized.

Desired background & competences:

  • Excellent organizational and time management skills: We look for a highly-organized person with problem-solving, prioritization, and autonomous time and workflow management.
  • A passion for teamwork: a collegial, communicative and collaborative person.
  • Research project management experience; ideally, previous experience with ERC projects.
  • High level of proficiency in English, both written and spoken, as this will be the working language in the MANTRAMS network. 
  • It will be an asset to have a high level of German.
  • Previous experience at the University of Tübingen and familiarity with the university administrative and technical structure will be highly appreciated.
  • Knowledge of the use of computer and project management tools.
