FAQ BIP Financing

Who is eligible to participate in a CIVIS BIP or receive financial support?

  • To be eligible to participate in a BIP program and qualify for an Erasmus+ grant, the following conditions apply:
  • You must be officially enrolled at the University of Tübingen during the application period and for the entire duration of the BIP program (both virtual and physical mobility phases).
  • You must be pursuing a degree at the University of Tübingen. As an exchange student, you may only participate in BIPs whose physical phase takes place in Tübingen.
  • The physical phase of the BIP must not overlap with any other student program or study abroad period (e.g., an Erasmus semester abroad).
  • You must participate in both parts of the program, virtual and physical.
  • If you have been selected for two BIPs, the physical phases must not overlap or follow immediately one after the other.
  • You must earn at least 3–6 ECTS credits in the BIP course. However, you are not required to have the ECTS credits transferred toward your degree.
  • Participation is also possible without receiving the mobility grant (as a so-called “zero-grant student”), provided that the Erasmus+ requirements are met. 
     

I receive a scholarship. Am I eligble for funding?

  • You may not receive other scholarships at the same time, such as Erasmus+, DAAD scholarships, BW scholarships, PROMOS, etc.
  • Study scholarships, such as those from the Studienstiftung or BAföG, can be combined with this program.

I am a doctoral student. Can I participate or receive funding?

  • Please first check the CIVIS website to see if the BIP is open to doctoral students.
  • Enrolled doctoral students may participate in the BIP as regular students.
  • Non-enrolled doctoral students may participate if they can provide alternative proof of affiliation with a university.

What is a travel day, and how many travel days can I apply for?

We provide funding for five days of stay at €79 per day through the Erasmus+ program. In addition, you can apply for so-called travel days (at €79 each) if needed. For sustainable travel, you can apply for up to six travel days, depending on the distance. For standard travel, up to two travel days. 

In addition to the travel days, we provide you with a flat-rate travel allowance. “Flat rate” means that we do not reimburse your actual costs, but rather provide a fixed amount based on the distance from Tübingen to the host university.

Do I need to submit tickets?

No. But please keep your travel receipts—such as proof of Green Mobility—for five years. This retention requirement also applies to the Social Top Up.

When will I receive the money?

  • The Erasmus+ mobility grant is paid out in two installments (80% / 20%).
  • The first installment (80 percent) will not be paid until you submit the Certificate of Attendance — that means: after your stay. We therefore strongly advise you to budget for upfront costs during your stay.
  • You will receive the second installment (20 percent) once you have submitted all required documents.

I don't need ECTS credits. Do I still have to submit a “Proof of Recognition”?

Yes, you still need to submit a document. In this case, please let us know; there is a form for waiving or deferring recognition of your course work. Please notify us at: civis.mobilityspam prevention@uni-tuebingen.de

What is the difference between a “Transcript of Records” and a “Proof of Recognition”?

  • The Transcript of Records confirms whether you have passed the BIP and is issued by the host university. It may include a grade or a pass/fail designation.
  • The Proof of Recognition confirms that you can have the BIP credited toward your degree. To submit this, please provide either a transcript (alma)—you may black out the remaining courses—or a confirmation from the program coordinator.
  • Don’t need ECTS credits? You must still submit a document. In this case, please let us know; there is a waiver form available for this purpose. Please notify: civis.mobility@uni-tuebingen.de

Is the “Certificate of Attendance” the same as the “Transcript of Records”?

No. The Certificate of Attendance confirms your participation in the program. The Transcript of Records confirms that you have completed the BIP. You must submit both documents.

I cannot participate in the BIP after all. What should I do?

Please contact the BIP program coordinator directly to withdraw from the program.
