Guide to: Videos on Youtube

Options for publishing videos on YouTube and on the University website

You would like to create a video to publish it on YouTube and possibly also on your homepage? Here’s what you need to bear in mind.

 Videos can generally be published:

  • on the University of Tübingen's central YouTube channel (www.youtube.com/UniTuebingen)
  • on an official decentral YouTube channel of the University of Tübingen or
  • on a non-official/ private YouTube channel

For the integration of videos into the University of Tübingen website via plugin, it is a technical requirement that the video is on YouTube. Alternatively, a link to a YouTube video is always possible.

Central University YouTube channel

The University of Tübingen’s central YouTube channel is intended for videos that have been officially produced or commissioned by the central administration, institutions, faculties or departments. Videos produced by individual professorships are only published if the content is of broad interest within at least one field of study. Private videos or videos by student groups are not published on the University’s YouTube channel.

 

Criteria:

  • With regard to quality, minimum standards must be met in terms of sound, image, etc. The Public Relations Department will check this.
  • If the video has an official character, this must be made clear in the credits by using the University logo. The Public Relations Department’s graphics office provides a slide for this.
  • If you use photos, graphics or music when creating videos, please always pay close attention to image rights (copyright / performers’ rights) and sound rights.
  • Please submit your video to the Public Relations Department for upload as an MP4 file to HK.
  • Additional information such as short concise video title, teaser text and production data must also be submitted (see checklist below)
  • Please do not submit more than 5 videos at once for upload.

 

The University's central YouTube channel is edited by the online editorial team in the Public Relations Department in cooperation with the Center for Media Competence (ZfM).

    Checklist - The following information must be submitted with the video file: 
    • A short, informative video title. The shorter the better! Recommended: max. 50 characters, as only this amount of text is displayed in e.g. Google searches for video titles.
    • Teaser text (a few explanatory sentences on the content of the video, but containing the important keywords on the topic, are sufficient).
    • Keywords: 5-10 terms in addition to the teaser text
    • Production data (Who produced the video? From which University institution does the contribution originate? Year of production? etc.)
  • Requests for live streams of events go to the Center for Media Competence ZfM

 

Note:

We are aware that videos must be published on YouTube in order to be included on the University website. Not all of these videos are suitable for the general public. Please understand that in some cases we publish videos on the official UT YouTube channel in such a way that, although embedding on the website is possible, the videos are not visible or at least not prominently visible on the UT YouTube channel. This is a purely editorial decision that we ask you to respect.

Official decentral University YouTube channel

In the event that your videos are not suitable for publication on the University's central YouTube channel, you may be able to set up your own decentral YouTube channel as an alternative. The following points must be observed:

1. Firstly, you need to create a utilization concept and submit it to us at the Public Relations Department. As an example, here is the utilization concept for the University's central YouTube channel: https://uni-tuebingen.de/en/160813
You can use this as a template, updating it with your own data.
2. You also need your own data protection declaration and data protection impact assessment. You can find both templates here:

3. You must then post all three documents on the institute/department website and provide links to them from the Youtube channel.
4. On the YouTube channel, you must then also set up an imprint with contact details/name of a person responsible for the content.
5. To ensure that the channel is recognizable as an official University channel, please contact our graphic designers (Ms Neudert / Ms von Briel: designspam prevention@cd.uni-tuebingen.de), who will create a CD-compliant icon / profile picture for your channel.

It is particularly important for the utilization concept and the imprint that there are clear responsibilities. Videos need to be posted on your channel on a long-term and regular basis. In the event of critical comments/ extreme backlash under videos in your channel, a quick reaction by the responsible persons must be guaranteed. In very difficult cases, you should contact the central online editorial team in good time to agree on effective crisis management. 

The data protection requirements are mainly based on the state of Baden-Württemberg provisions regarding the social media activities of public institutions.

Non-official YouTube channel

You would like to publish a video on your website, but the video is not suitable for publication on the university's central YouTube channel and the effort required to set up an official decentral YouTube channel is too high. In this case, you can - on your own responsibility - upload your video to your own private YouTube channel. If it meets the criteria (see next section), we can then embed it for you on your University website.

Videos on University web pages

The integration of videos via plugin is only possible for YouTube videos. The integration is always carried out by the online editorial team. For this purpose, please send the YouTube link of the video to be integrated and the URL of the website to which the video is to be integrated to: ordspam prevention@uni-tuebingen.de

Criteria for including videos on University web pages:
The videos must have subtitles. This is required in order to meet accessibility requirements. It is possible to have subtitles generated automatically within YouTube. However, these subtitles practically always have to be edited. For videos on the central University channel, we will send you a file that you have to post-edit. We then upload your edited subtitle file back to YouTube. If it is your own YouTube channel, you can create the subtitles yourself.

Only videos that are intended to be there for a longer period should be uploaded to the homepage. In principle, a maximum of three videos should be uploaded per website - the website should not have the character of a video library. Holiday videos or joke videos are not suitable for the website.
Note: Instead of embedding YouTube videos via plugin you can always place a link (with or without preview image).
